Admin Support

Position Summary
We seek an Administrative Assistant to manage our program’s office operations and logistics.
Principal Responsibilities
Responsibilities:
● Stock and Asset Management:
○ Oversee the stock record, ordering, and systematic labeled storage of all printing
and stationery supplies.
○ Manage the purchase, maintenance, systematic record-keeping, and updates for all
Adhyayan assets, including laptops, hard drives, external storage drives, printers,
cartridges, and mobiles.

● Office Maintenance:
○ Review, monitor, and track the cleanliness and upkeep of the office premises.
● Logistics and Coordination:
○ Organise, pack, and track materials for courier delivery to school sites for AQS,
ASIST, and Consultancy.
○ Coordinate with school principals and coordinators to schedule pre-program
preparatory meetings for AQS, ASIST, and Consultancy.
● Backend Support for Online Meetings and Webinars:
○ Provide comprehensive backend support for all ASIST, COP, and AQS online
meetings and webinars, including:
■ Scheduling and starting Zoom meetings.
■ Sending promotional messages to targeted databases.
■ Saving the phone numbers of registered participants into Adhyayan’s
mobile phone.
■ Managing the recording, storage, and retrieval of session recordings.
■ Sending meeting links to all participants and facilitators.
■ Meeting facilitators before the program to ensure all resources are ready.
■ Preparing and sending thank you notes, handouts, and certificates to all
participants.
■ Systematically organize and maintain all backend data, including
participant data, PDFs, handouts, exit slips, PPTs, etc.

● Calendar Management:
○ Manage the calendars for Kavita and Spokey.
● Facilitator Support:
○ Provide backend or on-ground support to facilitators during sessions.
● Social Media Team Assistance:
○ Assist the social media team in recording content.

Requirements
The individual needs to be
● Fluent in English.
● Conversant with Canva, Zoom, and Microsoft Office – Word, Excel, and PowerPoint.
● Be task-oriented and take accountability.
● Good communication skills on the phone and in person.
● Driven by excellence – wanting to do the work to the satisfaction of the person to whom it
will be submitted.
● Good listener, asking questions and seeking clarification to do the job well. Keen to get
feedback and use it to improve.
● Someone good at organizing things will be a great fit
● We do not go by the number of years of experience
Compensation
The compensation will be based on prior experience.
Please Note: We will organize transportation, accommodation, and food for the days you are
required to be on the field. We work the 2nd and 4th Saturdays of the week, 8 hours per day.
